Who we are
Keynote Lessons is a private piano and music tuition business based in Chester, UK. We are the data controller for the personal information described in this policy.
Our processing of personal data falls within the exempt purposes set out by the Information Commissioner's Office (advertising, marketing and public relations, and accounts and records), so we are not required to pay the ICO's data protection fee or appear on their register.

What we collect and why
When you make an enquiry
If you use our contact form, email us, call us or message us on WhatsApp, we collect the details you give us. Through the contact form this is your name, email address, phone number (optional), what you are interested in, your current level and any message you include.
We use this only to reply to you and arrange a consultation or lessons. Our lawful basis is taking steps at your request before entering into a contract, and our legitimate interest in responding to enquiries.
When you download a free resource
If you sign up for a free resource, such as our piano scales book, we collect your email address. We use it to send you the resource and, if you tick the box to opt in, occasional emails with news, practice tips and updates from Keynote Lessons.
Our lawful basis is your consent. Every email includes an unsubscribe link, and you can withdraw your consent at any time.
When you take lessons with us
If you or your child become a student, we keep the information needed to teach and run lessons. This can include the student's name and age, a parent or guardian's contact details, lesson feedback, and exam entries and results.
Lesson fees are paid by direct bank transfer. We never collect or store card or bank details. We keep a simple record of payments received (the payer's name, the amount and the date) for our accounts.
Our lawful basis is the contract between us, and our legal obligation to keep financial records. For students under 18, lessons are arranged with a parent or guardian, who provides and manages the student's information.
When you visit our website
We use Google Analytics to understand how visitors use the site, for example which pages are visited and how long for. Google Analytics uses cookies and collects information such as your approximate location, device, browser and the pages you view. It does not tell us who you are.
You can block these cookies in your browser settings, or install Google's opt-out browser add-on.
Who we share it with
We never sell your information. We use a small number of trusted service providers who process data on our behalf:
- Netlify: hosts this website and receives contact form submissions.
- MailerLite: stores email sign-ups and sends our emails.
- Google: provides website analytics.
Some of these providers may store data outside the UK, including in the United States. Where this happens, they use recognised safeguards, such as the UK's approved data transfer agreements, to protect your information.
We may also share information where the law requires it, for example with HMRC.
How long we keep it
- Enquiries that do not lead to lessons: up to 12 months.
- Email sign-ups: until you unsubscribe.
- Student records: for as long as lessons continue, then deleted, except payment records, which we keep for 6 years to meet tax requirements.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you
- ask us to correct information that is wrong
- ask us to delete your information
- object to, or ask us to restrict, how we use it
- ask for your information in a portable format
- withdraw your consent at any time, where we rely on consent

Complaints
If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The date at the top of the page shows when it was last changed.
